The short version: we collect what a community organization needs to register children for sport, we use it only for that, and we never sell it or use it for advertising.
Who we are, and who is responsible
LeagueRoots provides registration software and websites to youth sports organizations ("community organizations"). When a family registers with a community organization, the community organization decides what information it asks for and what it does with it, and LeagueRoots stores and processes that information on the community organization's behalf. Questions about how a particular community organization uses your information are best sent to that community organization. Questions about LeagueRoots itself can be sent to hello@leagueroots.com.
What we collect
- Your account: your name, email address and a password, which is stored only as a secure one-way hash.
- Your household: the information you enter about your family, which can include children's names, dates of birth, gender, school and grade; addresses; emergency contacts; and medical provider details.
- Registrations and orders: what you registered for or bought, the amounts, and how and when they were paid.
- Waivers and consents: what you agreed to, the exact wording you saw, the name you typed as your signature, when you agreed, and the internet address and browser you agreed from, so the community organization can show the agreement was made.
- Messages: anything you send through a contact form, and the emails we send you, such as receipts and confirmations.
- Technical logs: the pages requested, internet addresses and error details, kept to keep the service secure and working.
We do not see or store card numbers. Card details are entered into a form provided by Stripe, our payment processor, and go directly to Stripe.
How we use it
- To let you register, sign forms, pay and manage your family's information.
- To give your community organization what it needs to run its programs: rosters, payments, forms and contact details.
- To check an address against public school district records, when a community organization asks for that.
- To send the emails the service depends on, like confirmations, receipts and password resets.
- To keep the service secure, fix problems and bill community organizations for their use of it.
We do not sell personal information, and we do not use it for advertising.
Who it is shared with
- The community organization you register with, including its administrators and staff.
- Stripe, to process card payments into the community organization's own Stripe account.
- Our email provider, to deliver the emails the service sends.
- Address lookup services: county auditor websites and the US Census Bureau geocoder, which receive a street address, and nothing else about you, when a community organization checks a school district.
- Our hosting provider, which runs the servers the service is on.
- Authorities, only where the law requires it.
Children
Information about children is entered by their parents or guardians. Accounts are for adults, and we do not knowingly collect personal information directly from children.
Cookies
We use only the cookies the service needs: one that keeps you signed in, and one that protects forms from being submitted by other websites. There are no advertising or tracking cookies, and no third-party analytics.
Your choices
- You can see and correct your family's information at any time by signing in to your community organization's website.
- To have your account deleted, or to ask what we hold about you, contact your community organization or email hello@leagueroots.com. Some records, such as payments and signed waivers, may need to be kept for the community organization's legal and financial obligations.
Keeping it safe
Every page is served over an encrypted connection. Each community organization can see only its own registrations, payments and forms. Access to community organization data is limited to the community organization's administrators and staff, and to us where we need it to run and support the service.
Changes
If we change this policy we will update the date at the top of this page, and tell community organizations directly about any significant change.
